This policy explains information handling on waterheatingexperts.com, operated by Water Heating Experts LLC (WHE). It covers website visits, inquiries and the online tools described below. Services you open on another provider’s website also have their own privacy terms.
Information you provide to WHE
When you call, text, email or request service, the information you provide may include your name, phone number, email address, service address, water heater details, project photos and messages. We use that information to respond, discuss estimates, arrange work and communicate about your project. Career inquiries may include the experience and contact details you choose to send.
Send only information relevant to your request. Avoid including payment-card details, identification documents or unrelated personal information in ordinary email, chat messages or equipment photos.
Booking, chat and reviews
We use Housecall Pro for online estimate requests and website chat, and embed its customer-review widget. Information you enter into these tools is processed through Housecall Pro and made available to WHE as appropriate to the request. Its tools may also collect device and usage information. Reviews submitted for public display may show the reviewer’s name and review content. Before posting, check what the review service will publish and avoid including private contact details.
Water heater age lookup and label photos
Our water heater age lookup processes the equipment details you enter, such as brand, model, serial number and a printed manufacture date. If you choose the photo option, your label image is sent through our website to OpenAI for automated reading. Crop photos to the equipment label and leave out people, addresses and other personal information.
The photo-reading request is configured not to save the response as a stored OpenAI response. This does not mean that OpenAI has no retention: its processing, security and retention rules still apply. Read OpenAI’s API data-use and retention information.
You can type label details instead of uploading a photo. A separate link that opens ChatGPT takes you to an external service governed by your account settings and that service’s terms. An age lookup is not an appointment or a request for WHE to contact you.
Website analytics and cookies
Our website uses Google Analytics, Microsoft Clarity and Koko Analytics to understand visits and how people use the site. Cookies and similar technologies can support analytics, website functions and third-party tools. Technical information can include pages visited, referring pages, browser or device information and network information such as an IP address.
- Google Analytics: measures website traffic and interactions. Learn how Google uses information from sites that use its services.
- Microsoft Clarity: provides interaction measurements, heatmaps and session replays to help us understand and improve website use. It uses cookies and other tracking technologies. See the Microsoft Privacy Statement for Microsoft’s processing and uses of this information.
- Koko Analytics: records website traffic statistics within our WordPress installation. This site’s Koko configuration uses cookies to help measure visits.
You can use browser settings to manage or delete cookies and restrict tracking. Blocking cookies or scripts may affect chat, booking, embedded content or other features. Browser controls do not necessarily stop every type of information collection.
Embedded content and external links
Some articles contain Vimeo videos, and the site links to manufacturers, review services and social platforms. Embedded providers can receive technical information when their content loads and may use cookies or track interactions. See Vimeo’s Privacy Policy. Information you provide after following an external link is subject to that provider’s policies.
Service providers and information retention
Website hosting, security, communications and the tools described above involve service providers that process information to deliver their services. Information may also be disclosed when required by law or to address fraud, misuse or security issues.
Retention varies by the information and service involved. Customer correspondence and project records may be needed for ongoing service, administration, warranty matters or legal obligations. Analytics and third-party records follow the relevant settings and provider policies. Contact WHE about a particular record; this policy does not promise a single deletion period for every system.
Your choices and privacy requests
You can contact WHE to ask about information you have provided, request a correction, or request access or deletion. Include enough detail to identify the request without sending unnecessary sensitive information. We may need to verify your identity, and some records may need to be retained for administrative, legal or security reasons.
If your concern relates to a third-party account or a review you posted on another platform, that provider may also need to handle your request.
